Web Course Request Entry


Overview

There are two options available for the Web Course Request software: Web Course Request for Students and Web Course Request for Counselors. There are many advantages to this approach:

  • Information is entered directly to the iSeries CIMS® student database eliminating uploads and downloads.
  • No student information data is stored locally on the PC, so if the PCs are not backed up often, previously entered data is safe.
  • Custom software does not need to be loaded on each workstation. All programs are run directly from the iSeries.
  • Using Web Course Request programs eliminates the need for scan sheets and barcodes.
Installation and Setup

There is one piece to Web Course Request - the iSeries server code. The iSeries and PC communicate via TCP/IP through a web browser.

Once the iSeries installation is complete, users are ready to begin using the Web Course Request programs.

The Basics

The Web Course Request for Students software allows students to enter their course requests using a Windows-based program. Students will sign on by entering their student ID and a password (student ID is their CIMS student number and the password is their first and last name). They will be able to enter requests based upon their next year grade level. Subject areas will be limited to courses within their graduation requirement plan. The student will be allowed to select which graduation requirement they would like assigned to the requested course if multiple graduation requirements are available. If a requirement is not selected, the system will assign the first one from the list.

The programs verify the number of credits the student is requesting and a counselor will need to approve each studentˇ¦s request before they are posted to the CIMS student database. Please review the 'Student Entry Screens'.

The Web Course Request for Counselors allows counselors to enter student course requests using a Windows-based program. Counselors will sign on using their iSeries user id and password. Initially they can choose three sort options for the Student Sort and Selection screen (alpha, class & alpha, and student ID). A list of students appears from which the counselor can choose students for course request entry. From this point, they access the same screens as the students would from the Web Course Request for Students program. This version will verify the number of credits selected as does the student version, but the 'counselor approval' that is required from the Student version is not required here. The course definition screen will be enhanced to allow maintenance of the course type (Required, Elective, or Alternate) and the class level associated with each type. An additional text line will be available for a longer course title. Please review the 'Sample Course Maintenance Screen'.

Graduation requirements will be enhanced to allow different requirements to be assigned for each class level. If graduation requirements are not defined for a course/class combination, the standard requirements on screen, SCH.310.12, will be used. All programs assigning requirements will be updated to access the new file. The courses and requirements presented to the student will coincide with their next year class level.

A table to define course title subheadings by class level will be created. This table will allow the setup of headings such as English Semester 1 and English Semester 2. Each subheading will be linked to a category code. The category code will be used to select which courses will be displayed under each title during course request entry.

Students use their first and last name, along with their CIMS file id.

NOTE: The CMT logo in the upper left corner can be changed to your school logo.

Upon pressing Continue, the following screen appears. The screen that appears will depend on the studentˇ¦s next year class level and how the table subheadings are defined by your school (i.e. the subheading MATH-1 SEM, could be MATH REQUIREMENT).

When selecting the pull down next to a subheading, the valid courses for that subheading appear. Students click on the course they are selecting.

If a requirement is not selected the system will assign it automatically. If more than one requirement is allowed for a course, studentˇ¦s can also choose the requirement the course applies to.

If the students have not selected enough courses, they will be unable to continue. A message next to the Continue button will indicate such, as seen below.

If the student has selected the appropriate credit amount, they are able to select the Continue button. At which point, the following screen appears indicating that the requests have been saved and the approval screen will be displayed.

Following is the approval screen. If a counselor is present at the time the student has made their selection, the 'Approve Request' button can be selected. The counselor will be presented with a screen requesting their iSeries user id and password. If the counselor approves the request, it will be posted directly to CIMS. If the counselor is not present to approve the request it is placed in a hold file. The counselor can at a later date access the Web Counselor version to approve the requests (see the following section for information on the Counselor version).

If the counselor works between multiple buildings they will be presented with the following screen to select the building they are accessing students. The counselor will not see the following if they are only given access to one building.

After selecting the building, the following screen appears to select the students. Students that have requests on hold, but not yet approved, will have a 'Yes' in the Work Exists column. Students that have requests that have been either approved through the Web Course Request programs or directly entered into CIMS, will have a 'Yes' in the Requests Exist Column.

Counselors can select the student they wish to approve, and the following screen appears. They verify the information and click Approve Request. The Course requests for the student are posted directly into CIMS.

When approving the request, counselors receive the following confirmation that the post was successful.
